The Transcript Evaluation Process at WVC
-- Using Classes from Other Colleges towards Degrees and Certificates

Complete these steps:

1. Request official sealed transcripts from the college(s) you have attended. Have them sent to you, officially sealed, so there is no question as to where the transcripts are sent and received.

2. Request a set of transcripts for yourself, as well. This is not required, but highly recommended. You should keep copies of all your transcripts. Create a file for them. Keep copies of your transcripts along with your most recent education plan. Bring your file to all counseling appointments.

3. Take a set of your official sealed transcripts to: Records Office, West Valley College, 14000 Fruitvale Ave., Saratoga, CA, 95070.

4. Complete a "Transcript Evaluation Request" form and pay a $5 fee ($10 rush) fee at the Cashier's counter (in Admissions and Records) at the time you submit the transcripts.

5. This transcript evaluation will automatically evaluate your transcript towards West Valley College, CSU, and IGETC general education patterns. Copies of the transcripts and evaluations will be scanned into the WVC Student Services records system. (This process does not evaluate your coursework towards major requirements for degrees and certificates. See below for additional steps to complete transcript evaluation for your major).

6. You must have an “Application for Admission” to WVC on file to complete an evaluation. You can complete an application to the college at the time you submit your transcripts, if you do not have one on file. (If you have signed-up for classes, you already have an application on file).

7. You will receive a notice in the mail, or email, indicating that your transcripts have been evaluated. The letter will invite you to make an appointment with a counselor to discuss the results. Call the Career Programs office to schedule an appointment with me at 741.2098.

8. Attend the counseling appointment with me. As always, bring-in your most recent education plan, along with other related documents you might have.

9. The department that offers the degree or certificate that you seek here at WVC is responsible for determining how courses transfer into the major.

10. A faculty member, usually the department chairperson, can review your transcripts and determine course equivalencies. They can complete a "Departmental Waiver Form," indicating classes you are waived from taking here towards a major, based on your previous coursework.

11. Contact your department to arrange an appointment to review course equivalencies. You will need to bring a copy of your transcripts to your appointment with the faculty member. If you are a vocational major (Career Programs) at WVC, I can assist you and the department chair with the waiver review process. Arrange an appointment with me to discuss your situation.

12. Your transcript must be on file with Admissions and Records, per the steps listed above, to complete a department's waiver of major requirements.
